Job Description
DEFINITION:
Under general supervision; performs work of
moderate difficulty providing support services in order to facilitate the
proceedings of court according to the daily scheduled call; performs related
work as required.
DISTINGUISHING FEATURES OF THIS CLASS:
An
employee in this class is responsible for coordinating the case files and
supporting documents that have been assigned to a specific courtroom. Work
involves calling each case for the court to act upon and recording all matters
and actions as the hearing proceeds. This position is distinguished from a
Court Room Representative by the ability to work in multiple courtroom
environments and maintain a standard level of accuracy and speed. General
supervision is received from the assigned Circuit Court Clerk Manager or
Supervisor.
EXAMPLES OF DUTIES TO BE PERFORMED WITH OR WITHOUT
REASONABLE ACCOMMODATIONS:
Provides assistance to judges, attorneys,
litigants and the general public; delivers and arranges case files to the
assigned courtroom; answers general inquiries related to court room procedures
and processes; verifies all codes for accuracy; distributes call sheets to
appropriate parties; calls court cases, swears in witnesses, jurors and
interpreters; reads orders and determines coding and/or narratives for
computer entry; researches questions or inconsistencies related to coding to
ensure accuracy; assures that court orders have been signed by the judge; date
stamps all documents; validates the accuracy of case numbers; completes
cross-training to work in multiple courtrooms; operates computer system in
order to record case information; may assist with the pulling or re-filing of
case files; keeps current with changes in laws or regulations that may impact
position responsibilities and procedures.
DESIRABLE KNOWLEDGE AND
SKILLS:
Good knowledge of court room, recording and coding procedures;
good knowledge of the court system; good knowledge of procedures for pulling
and re-filing case files; good knowledge of bench and jury trial procedures;
good knowledge of office equipment.
Working skill in handling and
organizing reports and hand written documents accurately and quickly; working
skill in interpreting and applying case activity; working skill in dealing
effectively with others; working skill in verbally calling names of parties
during court proceedings; working skill in operating a personal computer,
applicable software and peripheral equipment.
SUGGESTED TRAINING
AND EXPERIENCE:
Three years of experience in general office work which
included maintaining files and providing customer service and one year of
experience with the DuPage County Circuit Court Clerk’s office; or an
equivalent combination of training and experience.
